Privacy

Protecting your personal information is important to us.

This Privacy Policy explains what information FullClarity collects through fullclarity.com, how we use it, who we share it with, and the choices and rights you have.

FullClarity provides construction and project management software built inside Oracle NetSuite. This policy covers our website and our marketing activities.

It does not cover the business data your organisation holds inside its own NetSuite account, such as your projects, customers and financial records. Your organisation is the data controller for that information, and we act on its instructions under a separate agreement.

If you use FullClarity software because your employer has licensed it, we do hold limited information about you as a user of that software: your name, work email address, work phone number, and your role in your organisation's NetSuite account. We use this to administer licences and to support the account. That processing is governed by our agreement with your employer. If you have questions about it, contact privacy@fullclarity.com or your organisation's NetSuite administrator.

Collection of your Personal Information

We collect information you give us directly, and some information automatically.

Information you give us. When you request a call, download a resource, register for a webinar or contact us, we may collect your first and last name, business email address, telephone number, employer, job title, and country or region.

Information collected automatically. When you visit the site we may collect your IP address, browser type, device type, operating system, referring website, pages viewed, links clicked, and the dates and times of your visits.

Information about how you interact with our pages. We record general interaction data such as scrolling, clicks and session recordings through Microsoft Clarity, so we can understand which parts of our pages are useful and which are not. Form field names are recorded so we can see where people get stuck. The values you type into form fields are not recorded.

We do not collect personal information about you unless you provide it or it is collected automatically as described above. We do not knowingly collect special category information such as health, biometric or political data, and we ask that you do not send it to us.

How we use Your Personal Information

We use your information to:

  • respond to your enquiry and provide the services you asked for
  • send you marketing communications about FullClarity products, where you have consented or where we are otherwise permitted to do so
    personalise what you see on our website
  • show you, or deliberately withhold from you, advertising on other platforms. See "Advertising and audience matching" below
  • measure how our website and marketing perform
  • maintain the security and integrity of our systems
  • meet our legal and regulatory obligations

Legal basis, for people in the United Kingdom and the European Economic Area. We rely on your consent for marketing communications and for non-essential cookies, on our legitimate interests in promoting and improving our business for website analytics and business to business marketing, on the performance of a contract where you are a customer, and on legal obligation where the law requires it. You can withdraw consent at any time.

Email communications

From time to time FullClarity may contact you by email with announcements, offers, alerts, confirmations, surveys and other communications. So that we can improve what we send, we may record when you open an email from us or click a link inside it.

If you no longer want marketing or promotional email from FullClarity, you can unsubscribe using the link in any marketing email, or by emailing privacy@fullclarity.com. We will still send you messages that relate to a service you are using, such as billing or support.

Sharing Information with Third Parties

FullClarity does not sell, rent or lease your personal information.

We share personal information in the following circumstances:

Service providers. We use other companies to run our business, including website hosting, customer relationship management, email delivery, analytics, and advertising. They may process your information only to provide those services to us, and they are required to keep it confidential.

Advertising platforms. We share limited contact information with advertising platforms so that we can manage who does and does not see our advertising. This is described in detail in the next section.

Professional advisers. Our lawyers, accountants and auditors, where they need it to advise us.

Business transfers. If FullClarity is involved in a merger, acquisition, financing or sale of assets, your information may be transferred as part of that transaction. We will tell you if your information becomes subject to a different privacy policy.

Legal reasons. We may disclose your information without notice where we believe in good faith that it is necessary to comply with the law or legal process, to protect or defend our rights or property, or to protect the personal safety of any person.

Advertising and Audience Matching

We advertise on platforms including Google, Microsoft, LinkedIn and Meta. To make that advertising more relevant, and to avoid wasting it on people it does not suit, we may share limited contact information with those platforms.

How this works. We convert your email address, and sometimes your name, into a hashed value. Hashing is a one way process, so the platform does not receive your email address itself. The platform compares that hashed value against its own account holders. Where there is a match, we can:

  • include you in an audience, so you may see our advertising on that platform, or
  • exclude you from an audience, so you do not see our advertising. For example, we exclude people who are already our customers, because advertising to them wastes their attention and our money

Automatic matching. Where you enter information such as an email address or phone number into a form on our website, the Meta Pixel may convert it into a hashed value and send that to Meta so the event can be matched to a Meta account. As above, hashing is one way, so Meta does not receive the information itself. This happens automatically rather than as part of the audience process described above. You can prevent it by blocking advertising cookies in your browser, or by adjusting your advertising settings with Meta directly.

What we do not do. We do not receive any new information about you back from these platforms through this process. We do not learn anything about your activity elsewhere. We do not sell your information. We do not use this to make automated decisions that produce legal or similarly significant effects.

Your choice. You can ask us to remove you from these audiences at any time by emailing privacy@fullclarity.com. You can also control advertising personalisation directly with each platform through their own settings, which apply across every advertiser who uses them.

Joint webinars and registration with Oracle

By filling and submitting data to submission forms you understand and agree that the use of Oracle's website is subject to the Oracle.com Terms of Use. How events reach Meta. Events on our website are sent to Meta in two ways: directly from your browser by the Meta Pixel, and from a server using Meta's Conversions API. Both send the same information, which is the page you visited, the action you took, and identifiers Meta uses to match the event to a Meta account. The second path exists because browsers increasingly block the first one, and it gives a more accurate picture of which advertising works.

Cookies and similar technologies

We use cookies and similar technologies such as pixels and local storage.

Strictly necessary. Needed for the site to work, including security and load balancing. These cannot be switched off.

Analytics. Help us understand how the site is used, which pages are read, and where people struggle.

Advertising. Used to measure advertising performance and to show relevant advertising on other platforms.

Most browsers accept cookies automatically. You can change your browser settings to refuse cookies or to alert you when one is being set. If you refuse cookies, parts of the site may not work as intended.

Security of your personal information

FullClarity protects your personal information from unauthorised access, use and disclosure. Information sent between your browser and our site is encrypted in transit using TLS.

We take appropriate measures to protect against unauthorised access to or alteration of your personal information. No transmission over the internet or any wireless network can be guaranteed to be completely secure, so while we work to protect your information you acknowledge that there are security and privacy limitations inherent to the internet which are beyond our control.

If we become aware of a data breach that is likely to result in serious harm, we will notify you and the relevant regulator as required by law.

How long we Keep Your Information

  • Enquiry and marketing contact data: while there is an active relationship, and for 24 months after the last interaction, unless you ask us to remove it sooner
  • Customer records: for the life of the contract and for 7 years afterwards, to meet Australian tax and corporate record keeping obligations
  • Website analytics: up to 14 months in Google Analytics, and up to 30 days for Microsoft Clarity session recordings
  • Advertising audience membership: refreshed regularly, and membership expires automatically if it is not renewed

When we no longer need your information we delete it or make it permanently anonymous.

International  transfers

FullClarity is an Australian company with operations in Australia, New Zealand, the United States and Europe. Your information may be transferred to, stored in, and accessed from countries other than the one you live in, including Australia and the United States.

Where we transfer personal information out of the United Kingdom or the European Economic Area, we rely on appropriate safeguards, including the UK International Data Transfer Agreement or the European Commission's Standard Contractual Clauses. You can request a copy of the relevant safeguard by emailing privacy@fullclarity.com.

Your privacy rights

Everyone. You can ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, delete it, or stop sending you marketing. Email privacy@fullclarity.com. We will respond within the time the law allows, and we will not charge you or treat you differently for asking.

United Kingdom and European Economic Area

You have the right to access, rectification, erasure, restriction of processing, data portability, and the right to object to processing based on legitimate interests, including profiling for direct marketing. Where we rely on consent, you may withdraw it at any time without affecting processing that already happened. You may also complain to your local supervisory authority, or to the Information Commissioner's Office in the United Kingdom.

California

If you are a California resident, you have the right to know what personal information we collect, use and disclose, to request deletion, to request correction, and to opt out of the sale or sharing of your personal information.

We do not sell your personal information. To opt out of sharing for cross context behavioural advertising, email privacy@fullclarity.com with the subject line "Do Not Sell or Share My Personal Information", or use the Global Privacy Control signal in a supporting browser, which we honour. We will not discriminate against you for exercising any of these rights.

Australia

We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth). You may request access to and correction of your personal information, and you may complain to us at privacy@fullclarity.com. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Children

Our website and services are intended for business use by adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact privacy@fullclarity.com and we will delete it.

Changes to this statement

FullClarity may change this Privacy Policy from time to time. We will tell you about significant changes by placing a notice on our site or by emailing you. Your continued use of the site after a change takes effect means you accept the updated policy.
